Information We Collect

We collect information about you in a variety of ways depending on how you interact with us and our website, including:

• Directly from you when you provide it to us, such as when you make a donation, register for an event or webinar, sign up for our newsletter, submit a photo or statement for our video slideshow, complete a form or survey, or contact us by phone, email, or otherwise.
• Automatically by cookies, server logs, and other similar technologies when you interact with our website or emails.
• From other sources, including, for example, our service providers (such as payment processors and event registration platforms), healthcare institutions and professional organizations, online social media networks, and other third parties, or from publicly available sources.

If you provide us with information about another person, such as a patient, loved one, or someone who has passed away, you confirm that you have the authority to provide that information to us. 

The following provides examples of the type of information that we collect in a variety of contexts and how we use that information.

Tributes and Donor Dedications	If you make a donation in honor or memory of someone, we collect the name of the person you are honoring and, if you ask us to notify them, the name and address of the individual or family to receive notice of your gift. If you create or contribute to a tribute page, we collect the information and photos you provide, which may include information about the honoree.	We use this information to acknowledge your gift and, where requested, to publish a tribute page. The amount of a tribute or memorial donation is kept confidential, but we may share your name and address with the individual or family named in the dedication.
Healthcare Professionals and Tumor Board	We collect the name, contact information, and professional information of physicians and other healthcare professionals who register for or participate in our programs, including our tumor board. This may include your institution or practice, specialty, credentials, and other information you provide to us.	We use this information to confirm your professional status, administer your participation in the tumor board and other professional programs, connect you with other participating professionals, and communicate with you about our programs.
Event and Webinar Registration	We collect your name and contact information when you register for an event or webinar. We may also collect your organization, your relationship to leptomeningeal cancer, and information related to your dietary and accessibility needs if you provide that information to us. If there is a fee, we collect payment information through our third-party payment processor.	We use this information to put on events and webinars, accommodate the needs of attendees, and follow up with attendees after the event.
Newsletter and Mailing List	When you sign up for our newsletter or other updates, we collect your email address, first and last name, state, country or region, and whether you are a patient, caregiver, healthcare provider or researcher, or other.	We use this information to send you newsletters, alerts, and information about our programs, webinars, research, and fundraising, and to send you content relevant to your relationship to leptomeningeal cancer.
Testimonials and Story Submissions	If you submit a testimonial or information about your experience with leptomeningeal cancer, we may collect your name, contact information, demographic information, and information about your relationship with leptomeningeal cancer. We also collect any photos you upload and any statements you choose to share.	We may use this information to create videos and other educational and advocacy materials for use at medical conferences, in our newsletter, on our website, on social media, and in other locations, and as otherwise described to you at the time of collection of such information, and with your consent where required by law.
Surveys and Patient Navigation	When you participate in a survey or request patient navigation support, we collect information that you provide, which may include your relationship to leptomeningeal cancer, cancer type, demographic information, or other information related to your or your loved one’s condition. If the survey is issued by a third party, the third party’s privacy policy applies to the collection, use, and disclosure of your information.	We use this information to better understand our community, respond to your request for support, and improve our programs.
Inquiries, Comments, Feedback, and Support	If you contact us, such as by email, by phone, or through a form on our website, we collect your name and contact information, as well as any other content that you send to us. [If you leave a comment on our website, we collect the information you enter in the comment form, such as your name, email address, and comment.]	We use this information to receive, and act upon, your feedback or issues and follow up on your inquiries and other requests. Website and Email Interactions and Logs	We use technology to understand how visitors interact with our website and our emails. On our website, this may include which pages you visit and links you click on, and information that you enter into our online forms, such as our donation, newsletter sign-up, event registration, and video slideshow forms. This may also include information about your device or browser, operating system, Internet Protocol (IP) address (a number that is automatically assigned to a computer when the internet is used), domain name, click-activity, referring website, and/or a date/time stamp for visitors. [If you leave a comment on our website, we also record your IP address and browser information when you submit it.] If you receive email from us, such as our newsletter, we may use tools provided by our email service provider to capture data related to when you open our message and whether you click on any links it contains. We also detect and prevent fraud with this information.

 

How We Use Information

In addition to the purposes and uses described above, we use information in the following ways:

• To support the participation of healthcare professionals in our tumor board and other professional programs.
• To conduct analytics.
• To communicate with you, such as to respond to and/or follow up on your requests, inquiries, issues, or feedback.
• To provide updates or notices regarding our organization, and to send newsletters and information about our programs, events, research, and fundraising efforts.
• To raise awareness of leptomeningeal cancer and share the stories of our community, including at conferences, in our newsletter, and on our website and social media.
• To detect and protect against malicious, deceptive, fraudulent, or illegal activity, including violations of our policies and terms of use, security incidents, and harm to the rights, property, or safety of our organization and our users, employees, or others.
• To debug, identify, and repair errors that impair existing intended functionality of our website.
• To comply with our legal or regulatory obligations, to establish or exercise our rights, and to defend against a legal claim.
• For internal administrative purposes, as well as to manage our relationships.
• For such other purposes as you may consent to from time to time.

We may also combine information we collect online with information you provide to us through other sources, such as at conferences or through personal contact with our staff. To the extent we maintain and use personal information in a deidentified form, we will not attempt to reidentify the information, except for the purpose of determining whether our deidentification processes satisfy our legal obligations.

 

How We Share Information

We do not sell your personal information. In addition to the specific situations discussed elsewhere in this privacy policy, we may disclose personal information in the following situations:

• Service Providers. We share your information with service providers that perform services on our behalf, such as payment processing, event and webinar registration, email delivery, website hosting, conducting surveys, and technical support. These service providers may access your personal information only as necessary to provide these services.
• Tributes and Donor Dedications. If you make a donation in honor or memory of someone and ask us to notify the individual or family, we may share your name and address with them. We do not share the amount of your donation.
• Tumor Board Participants. If you are a healthcare professional participating in our tumor board, we may share your name, professional information, and contact information with other participating healthcare professionals to facilitate consultations.
• Public. Some features of our website, such as tribute pages, our video slideshow, and comments, allow information to be displayed publicly. If you choose to submit information for these features, that information may be publicly available.
• Mergers and Organizational Changes. If we merge with, are acquired by, or transfer our assets to another organization, or plan to do so, we may share information with that organization, including at the negotiation stage.
• Disclosures for Legal Rights and Obligations. We may disclose information in response to subpoenas, warrants, or court orders, or in connection with any legal process, or to comply with relevant laws. We may also share your information to establish or exercise our rights, to defend against a legal claim, to investigate, prevent, or take action regarding possible illegal activities, suspected fraud, safety of person or property, or a violation of our policies.

However, if you have granted us a release to use your photographs, stories, or recordings, such as through our video slideshow, the terms of that release will govern our use of those materials. Exercising these rights may impact our ability to provide you with our website or services; for example, if you request to delete your personal information, we may no longer be able to contact you.

Please note, not all of the rights described above are absolute, and they do not apply in all circumstances. In some cases, we may limit or deny your request because the law permits or requires us to do so, or if we are unable to adequately verify your identity. Note that we may need to verify your identity before responding to a request. Following a request, we will use reasonable efforts to comply with your request subject to any limitations allowed under applicable law. We will not discriminate against individuals who exercise their privacy rights under applicable law.

• Cookies. You can update your cookie preferences at any time by clicking the cookie settings button on our website. Most browsers also allow you to refuse or delete cookies. If you turn off cookies, some features of our website may not be available to you. You may also disable certain cookies by broadcasting the Global Privacy Control (“GPC”). Note that GPC is browser and device specific, so you may need to opt out again if you change browsers or devices.
• Online Tracking. We do not currently recognize the “Do Not Track” signal.
• Promotional Communications. You can stop receiving newsletters and other promotional communications by following the unsubscribe instructions in communications that you receive. If you decide not to receive promotional communiations, we may still send you communications related to your donation or other requests.

 

Children

Our website is not intended for children under the age of 13, and we do not knowingly collect personal information from children under the age of 13 without the consent of a parent or legal guardian. If you are a parent or legal guardian and think your child has provided us with information, please contact us as outlined below. We may receive information about minors from a parent, legal guardian, or legal representative, for example through video slideshow or tribute submissions. We use that information as described in this privacy policy and in any release provided on the minor’s behalf.

How We Protect and Retain Information

No method of transmission over the internet, or method of electronic storage, is fully secure. While we use reasonable efforts to protect your personal information from unauthorized access, use, or disclosure, we cannot guarantee the security of your personal information. Online donations are processed on a secure server, and information entered on the transaction page is encrypted before transmission. If we are required by law to inform you of a breach to your personal information, we may notify you electronically, in writing, or by telephone, if permitted or required to do so by law. We will also inform the applicable regulatory and/or government bodies of a breach where required by law.

We retain your personal information for only as long as necessary to fulfill the purposes outlined in this privacy policy, including for the purposes of satisfying any legal, accounting, or reporting requirements, unless a longer retention period is required or permitted by law.

Third-Party Applications/Websites

For your convenience, we may provide links to websites and other third-party content or services that we do not own or operate. Our website may also include embedded content from other websites, such as videos. Embedded content behaves in the same way as if you had visited the other website, and those websites may collect information about you, use cookies, and monitor your interaction with the embedded content. The websites and third-party content to which we link or that we embed may have separate privacy notices or policies. Please note, we have no control over the privacy practices of websites or services that we do not own. We encourage you to review the privacy policies of any third-party website or application for details about such third party’s privacy practices.

Changes To This Privacy Policy

From time to time we may change our privacy policies. We will notify you of any material changes to our Privacy Policy to the extent required by law. We will also post an updated copy on our website.  Please check our website periodically for updates.
